In the midst of establishing a few internal processes at SSA—like travel booking for consultants and feedback management—it struck me how essential it is for the “doctor to apply their own prescriptions.” The experience not only reminded us of the importance of process discipline but also highlighted the continuous evolution required to maintain standardization while adapting to growth and change. This journey underscored the relevance of the Process Maturity Framework, which classifies processes into five levels: Chaotic, Repeatable, Defined, Managed, and Optimized. Let’s explore these layers and their significance in building process maturity across industries.
When a business begins its journey, the focus is typically on solving a problem, often through a mix of ingenuity, experimentation, and a dose of “managed chaos.” This stage allows the organization to adapt quickly and discover what works. While this entrepreneurial spirit is critical for innovation, it eventually needs to give way to more structured approaches to sustain growth and scalability.
Once the initial chaos is tamed, organizations must aim for repeatability. This involves simple tools like checklists, work instructions, and staff training regimes that ensure tasks are executed consistently. Repeatability lays the groundwork for predictability and operational stability, but it’s only the beginning of process maturity.
At this stage, processes are documented and standardized, providing clarity on their scope, responsibilities (RASCI), risks, exceptions, and supporting structures. Frameworks like ISO 9001 and similar management systems are invaluable in this phase. A well-defined process removes ambiguity, ensuring that all stakeholders are aligned and equipped to deliver consistently.
As W. Edwards Deming famously said, “If you cannot express what you are saying in numbers, then you are just another person with an opinion.” Measurement is the linchpin for process improvement. By identifying and tracking key performance indicators (KPIs), organizations gain insights into how well their processes are performing. This enables them to make informed decisions and drive meaningful improvements.
Cultivating a Culture of Process Maturity
Building process maturity is not just a technical endeavor—it’s a cultural one. Deming emphasized the importance of “instituting a system of vigorous education across the organization.” Education and awareness are critical to embedding a culture of continuous improvement and empowering teams to take ownership of process excellence.
